Privacy Policy

InfieldHQ ("InfieldHQ", "we", "us") helps youth recreational softball and baseball leagues run their season: rosters, teams, coaches, tryouts, schedules, attendance, and lineups. This policy explains what we collect, why, and the choices you have. Because leagues manage information about children, we take children's privacy seriously and aim to comply with the U.S. Children's Online Privacy Protection Act (COPPA) and similar laws.

The short version

  • Adults (league admins, coaches, parents) create accounts. We collect the minimum needed to run a league.
  • Information about players (children) is entered and managed by their league and parents. We process it on the league's behalf.
  • We do not sell personal information.
  • Parents and leagues can access, correct, or delete player information. Contact us any time.

Children's data and COPPA

InfieldHQ is intended for use by adults running and supporting a youth league. Player profiles (which may include a child's name, jersey number, team, attendance, evaluation notes, and a walk-up song selection) are created and controlled by the league and the child's parent or guardian. We act as a service provider to the league for that information.

We do not knowingly allow children under 13 to create their own accounts or to provide personal information directly to us for our own purposes. Where verifiable parental consent is required, it is obtained through the league and the parent relationship. If you believe a child has provided us information without appropriate consent, contact us athello@infieldhq.com and we will delete it.

What we collect

  • Account information for adults: name, email address, role (admin, coach, parent), and the league(s) you belong to.
  • League and player information entered by the league or parents: player names, teams, jersey numbers, attendance/RSVPs, tryout evaluations, lineups, and walk-up song selections.
  • Usage and device information: privacy-respecting product analytics (such as page views and which features are used), short session replays (recordings of on-screen activity that help us understand and fix problems), and crash and error diagnostics. We also keep technical logs needed to operate and secure the service.
  • Support messages: when you contact us from inside the app — the in-app support chat or the "email us" option — we collect your message together with your name, email address, and basic context (such as your role and app version) so we can reply and help. These are handled through our support-and-analytics provider (see "How we share information").

How we use information

  • To provide and operate InfieldHQ for your league.
  • To authenticate users and keep accounts secure.
  • To send service-related messages (for example, an invite link).
  • To understand and improve how the product is used, in aggregate.
  • To diagnose crashes and errors and fix problems, including through session replays.

How we share information

We do not sell personal information. We share it only with service providers that help us run InfieldHQ (for example, our hosting, database, authentication, and product-analytics, session-replay, and support-messaging providers), under agreements that limit their use of it; with your league as needed to operate it; and when required by law. Some features (for example, walk-up songs) may connect to third-party music services that have their own privacy practices.

Data retention

We keep information for as long as your account or league is active, or as needed to provide the service, then delete or anonymize it within a reasonable period unless a longer retention is required by law.

Security

We use industry-standard safeguards to protect information in transit and at rest. No system is perfectly secure, but we work to protect your data and to limit who can access it.

Your rights and choices

Parents and leagues can request access to, correction of, or deletion of player information. Adults can update or delete their own account information. To make a request, contacthello@infieldhq.com.

Changes to this policy

We may update this policy. If we make material changes, we will update the date at the top of this page and, where appropriate, notify you.
